Member Volunteer Opportunities
Have some time that you would like to use to help the symphony? Below is a list of ways to help that vary in time required, and level or length of commitment. Take a look, and reach out to Heather or Melissa if you are interested in any of these opportunities to assist!
LOGISTICS
1) Program Personnel List Focal: Focal for personnel list for each concert for program
a. Collect list of personnel from each principal (they are supposed to email this to personnel manager two weeks prior to first rehearsal for each concert,
could work out a system where they post it or fill it in from a google form or something), do a final check in two weeks before performance then finalize
and send to personnel manager
2) Stage Setup Focal: Create stage setup maps for each concert and send to Melissa
a. Meet with Adam to walk through logistics for the performance. Concert order, when equipment needs to come on and off stage, how he wants the
stage set up, when soloists are coming on and off stage, if and when the orchestra needs to exit the stage to facilitate re-set, etc
b. For performances in alternate venues, organize volunteers to assist with setup, teardown and re-set, coordinating with orchestra members to assure
they know when it is OK to come on stage, etc.
c. Put this information together into one package and send to Melissa
d. Training available with Melissa for first concert volunteer assists with – likely via zoom mtgs
3) On-site Logistics Focal: On site manager / contact for each concert
a. Review state setup info package prior to performance day to familiarize yourself with needed actions, etc.
b. Arrive at the venue 2 hours before downbeat to be there to answer questions RE set up
c. Print and put up signs for dressing rooms
d. Coordinate with flower volunteer for concerts with soloists
e. Coordinate with stand delivery volunteer for alternate venues
f. Be the point person on site to direct stage setup volunteers for open dress rehearsals and alternate venues according to stage setup information
g. Notify members with 5 minute warning and final call to go onstage for sound check, and for performance at start and after intermission
4) Soloist Focal: On site host for soloists day of performance
a. Show them to dressing room, warmup location
b. Flowers for soloist for each concert we have one for
c. Work with On-site Logistics focal to assure they get the call to go on stage at the appropriate time
d. Answer any questions, be their support person if they need something, etc
5) Front of House Focal: Point person for tickets/concessions on performance dates
a. Focal to work on developing a team of high school volunteers to support box office/concessions on day of performances to earn volunteer hours and
then keep it going, work with Renee Kuehn to create handbook to run concessions that we can use for reference and training
b. Work with Renee Kuehn to support her setup on site
c. Take care of setup and maintenance of Point of Sale device for tickets purchased at the door
d. Take delivery of printed programs for concert day of and organize getting them folded with front of house volunteers
6) Concession Refreshments Focal: Coordination of food donations for concessions for each performance for the year
a. Visit local businesses to request donations (a list is available of typical businesses we get donations from)
b. Coordinate thank you letter from donations focal, and drop it off when picking up donations.
c. Pick up for each performance and deliver to front of house day of
7) SSOA Stands Delivery: For performances where we need to bring SSOA stands, coordinate getting them to and from the venue
8) Stagehand Volunteer: On site setup assistance for performances not at Eastlake High School PAC, including open dress rehearsals
9) Snail Mail Focal: Check the SSOA PO Box (located at Issaquah Post Office) regularly and deliver mail to Heather Raschko either at rehearsal or to her home
on the Plateau
10) Donations Focal: Prepare and mail thank you notes / letters for donations
a. Template is available, and includes tax receipt documentation
b. Coordinate with Marketing Focal to assure Donator is on SSOA mailing/marketing list
c. Keep a log of all donations, including name of donors, whether they want to be acknowledged by name or anonymously for eventual incorporation into
programs
MUSIC LIBRARY/LIBRARIAN
1) Parts Focal: Prepare (scan) and post music for each concert – Melissa will train
a. iPhone app best option: ScannerPro
b. Utilizes existing Dropbox folder setup for the season
c. Timeline established for when needs to be completed for each concert in conjunction with Personnel Manager
d. Coordinate collection of rental parts and any other originals after each concert and assure return to Music Librarian (Heather Raschko)
FUNDRAISING
1) Grants Focal: Assist with assuring SSOA is taking advantage of all possible funding sources
a. Research and identify grants we qualify for and summarize requirements and deadlines
b. Write grants per requirements working with a board member
2) Fundraising Focal: Assist Natalie Worden-Cowe with fundraising focus items for the season
MARKETING
1) Retirement Community Focal: Coordinate with retirement communities in the area to deliver flyers, help with tickets, encourage use of facility bussing to the
concert, arrange pre-concert talks with Adam, etc
2) School Community Focal: Coordinate with school music teachers in local school districts to assure flyers available, work with fundraising coordinator to help
get ticket program up and running, arrange for Adam to come into the school to take a rehearsal or host a lecture about careers
in music, etc
TREASURER
We need a treasurer for the organization!
PERSONNEL MANAGEMENT
1) Roster Focal: Work with Melissa to figure out best way to make orchestra roster available to membership
a. Develop and maintain up to date roster with contact info, etc that is in a shared space
2) Eventual goal: Partner with Melissa to train to take over personnel management by helping to create a manual for how to do the various tasks this entails:
Auditions, working with music director/conductor, etc. Ideally someone with management or HR background in their work life or other to start.
STORAGE UNIT
We need an additional shelving unit for the storage unit – work with Heather to identify what is needed and research options for donation or purchase
